1. Purpose and Philosophy

At Promotional Print Co, our primary mission is delivering corporate promotional merchandise that reflects your brand identity with flawless precision. Because customized branding permanently alters the physical product, this Policy sets forth our production standards, proofing workflows, technical specifications, and mutual commitments.

2. The 60-Minute Digital Proof Commitment

We believe corporate procurement teams should never experience bottlenecks when preparing event merchandise or client gifts:

1. Standard Commitment: Upon receipt of your Request for Quotation (RFQ) accompanied by vector artwork, our in-house graphics department will generate and deliver a complimentary Digital Visual Proof (Virtual Mockup) within 60 minutes.
2. Operating Hours: This commitment applies during standard UAE commercial business hours:

• Monday to Saturday: 9:00 AM – 6:00 PM GST (Gulf Standard Time).
• Inquiries received outside operating hours, on Sundays, or during official UAE public holidays will be prioritized first thing the following business morning.

1. Artwork Prerequisite: The 60-minute turnaround applies when artwork is provided in production-ready vector format (.AI, .EPS, .SVG, or vector .PDF). If artwork requires tracing, vector reconstruction, or extensive design modification, our team will provide an initial consultation immediately and an updated mockup timeline.

3. Digital Proof Approval Workflow

1. Production Freeze: Mass manufacturing, printing, engraving, and assembly are strictly frozen until the Client provides clear, affirmative written approval of the visual proof.
2. Acceptable Approval Methods:

• Formal email response stating *”Proof approved for production”* or similar unequivocal authorization.
• Stamped and signed digital proof PDF returned to our sales team.
• Explicit confirmation through verified corporate WhatsApp communication.

1. Client Verification Checklist: Prior to signing off, the Client must diligently review:

• Text & Spelling: Company names, taglines, phone numbers, website URLs, and event dates.
• Logo Orientation & Positioning: Scale, alignment (left chest, centered, corner), and orientation on the substrate.
• Color Specifications: Pantone (PMS) codes, single-color vs. multi-color layers.
• Imprint Dimensions: Width and height relative to product printable area.

1. Finality of Approval: Once the proof is approved in writing, Promotional Print Co proceeds directly to plate exposure, digital jig calibration, and bulk printing. Errors present on an approved proof cannot be rectified post-production and remain the Client’s responsibility.

4. Physical Pre-Production Samples

1. Qualifying Bulk Orders: For high-volume or high-value orders (orders valued at AED 5,000 or greater, or customized bespoke fabrications), Promotional Print Co provides a free physical pre-production sample upon request prior to full batch production.
2. Sample Delivery & Sign-Off: The physical sample will be dispatched directly to your UAE office. Mass production commences upon physical inspection and written confirmation from your team.
3. Standard Orders (< AED 5,000): Physical pre-production samples for smaller runs can be arranged for a nominal sampling setup fee (typically AED 150 – AED 300 depending on print method), which is credited toward the bulk invoice upon confirmation.

6. Color Matching and Substrate Tolerances

1. Pantone (PMS) Color Matching:

• We utilize the Pantone Matching System (PMS Formula Guide Coated / Uncoated) for spot-color Screen Printing, Pad Printing, and Silkscreen.
• Please supply exact Pantone C references with your artwork.

1. CMYK & UV Digital Printing:

• Full-color direct digital UV, UV DTF, and Sublimation print using cyan, magenta, yellow, and black ink formulations. While we achieve 95%+ color fidelity, minor variances may occur compared to glowing RGB computer monitors.

• Natural materials (bamboo, genuine wood, top-grain leather, cork) possess natural variations in grain, density, and natural color.
• Laser Engraving: Etch depth and color tone will vary naturally across timber grain and anodized aluminum surfaces, creating a distinct, authentic bespoke finish.

• UV DTF & Direct UV: Micro-droplet UV-curable ink with instantaneous UV light curing. Exceptional adhesion on curved glass, plastic, and metal with vibrant gloss or matte varnish coatings.
• Screen & Pad Printing: High-pigment industrial inks cured under infrared ovens. Ideal for large solid color branding on tote bags, apparel, and curved drinkware.
• Embossing & Debossing: CNC-milled brass dies heated to specific temperatures to create dimensional relief on premium PU leather diaries, portfolios, and gift boxes.
• Embroidery: High-density Tajima multi-head embroidery using premium Madeira polyester threads matched to corporate Pantone shades.
